Terms for using Pitform as an organizer, participant, attendee, staff member, voter, or other event user.

Operator
Pitform is owned and operated by Varvara LLC dba Axacraft. Axacraft operates Pitform as a software platform for vehicle-event organizers and their participants, attendees, staff, and voters.
These Terms apply when you access Pitform websites, tenant subdomains, event pages, registration flows, ticketing flows, check-in tools, voting pages, participant account tools, administrator tools, or related services.
Platform Role
Pitform provides event operations software. Event organizers are responsible for their events, event rules, eligibility decisions, schedules, cancellations, refunds, attendee communications, staff conduct, judging or voting policies, and published results.
Pitform may provide tools for registration, ticketing, payments, check-in, vehicle display, voting, awards, results, exports, and communications, but the organizer remains responsible for how those tools are configured and used for a specific event.
Accounts And Access
You are responsible for the accuracy of information you provide and for activity under your account, login session, shared staff PIN, or other access method.
Organizer and platform administrator access may be suspended, limited, or terminated if we believe access is unauthorized, unsafe, unlawful, disruptive, or violates these Terms.
Organizer Responsibilities
- Organizers must have the right to create and operate their organization, events, ticket types, public event pages, images, rules, descriptions, communications, and results.
- The person accepting these Terms for an organization represents that they are authorized to bind that organization and manage it on Pitform.
- Organizers are responsible for event eligibility, category rules, voting availability, tie resolution, winner overrides, public results publication, event cancellation decisions, and refund decisions.
- Organizers are responsible for event operations, refunds, taxes, permits, safety, disputes, chargebacks, and attendee communications unless Pitform expressly agrees otherwise in a separate written agreement.
- Organizers must not use Pitform to collect information they are not allowed to collect or to run events in a way that violates applicable law or third-party rights.
Participant And User Content
Users and organizers may submit names, contact details, vehicle information, images, descriptions, event content, votes, ticket information, and other content. You remain responsible for the content you submit.
You grant Pitform and Axacraft a limited license to host, process, display, transmit, and store submitted content as needed to provide, secure, support, and improve the service and to operate event-related features chosen by the organizer.
Public Event Pages
Some event information may be public, including event pages, vehicle pages, vehicle photos, display names, categories, voting pages, and published results. Do not submit public-facing content unless you are comfortable with it being shown publicly as part of the event experience.
Payments And Stripe
Pitform may support free and paid registrations, tickets, refunds, and organizer payment workflows. Payment processing is provided by Stripe or other third-party payment processors, not by Pitform directly.
Stripe may collect and process payment details, tax information, identity verification, ownership information, and banking or payout details under its own terms and policies. Pitform receives limited transaction, order, ticket, fee, refund, payout, and account-status information needed to operate the platform.
Pitform does not collect full card numbers, EINs, SSNs, bank account details, routing numbers, identity documents, or beneficial-owner KYC details in its own app UI.
Organizers are responsible for their own refund, cancellation, chargeback, tax, and event policies unless Pitform expressly agrees otherwise in a separate written agreement.
Ownership
Pitform, the software, product design, workflows, source code, documentation, trademarks, and platform materials are owned by Varvara LLC dba Axacraft or its licensors. These Terms do not transfer any ownership rights to you.
You may not copy, reverse engineer, resell, interfere with, or misuse the platform except as allowed by these Terms or a separate written agreement.
Acceptable Use
- Do not access another organization, event, account, order, ticket, participant record, or admin area without authorization.
- Do not attempt to bypass tenant isolation, payment controls, voting limits, check-in controls, security protections, or rate limits.
- Do not upload unlawful, infringing, misleading, malicious, abusive, or unsafe content.
- Do not use Pitform to send spam or unauthorized communications.
No Warranty
Pitform is provided on an as-is and as-available basis. We do not promise uninterrupted access, error-free operation, or that the service will meet every event requirement.
Event-day reliability matters to us, but organizers should still maintain operational backup plans appropriate for their event.
Limitation Of Liability
To the maximum extent allowed by law, Varvara LLC dba Axacraft and Pitform will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost goodwill, lost data, event disruption, or business interruption.
To the maximum extent allowed by law, our total liability for claims relating to Pitform is limited to the amounts paid to Pitform for the service giving rise to the claim during the three months before the event giving rise to liability, or one hundred dollars if no such amounts were paid.
Indemnity
You agree to defend and indemnify Varvara LLC dba Axacraft, Pitform, and their personnel from claims arising from your event, your content, your misuse of the platform, your violation of these Terms, or your violation of law or third-party rights.
Changes And Termination
We may update these Terms by posting a revised version with a new effective date. Continued use of Pitform after changes take effect means you accept the updated Terms.
We may suspend or terminate access when needed to protect the platform, other users, organizers, payment systems, or legal compliance.
Governing Law And Venue
These Terms are governed by the laws of the State of Idaho, without regard to conflict-of-law rules. Courts located in Idaho will have venue for disputes relating to these Terms or Pitform.
